How this role transforms workplaces:

  • Administer and coordinate the full leave of absence process for client employees, ensuring accuracy, timely communication, and compliance across multiple states and leave programs.
  • Act as the subject matter expert on federal, state, and local leave laws, including the interaction between overlapping regulations. Provide clear guidance to employees, HR Business Partners, and clients.
  • Maintain and update leave documentation and tracking systems, including Frances, Monday boards, OSHA logs, and client records. Ensure all documentation is organized, complete, and saved appropriately.
  • Review and determine leave eligibility, interpret medical certifications, approve leaves, and ensure legal notice requirements and internal service standards are met.
  • Manage workers’ compensation claims from intake through closure, partnering with SAIF, supporting return-to-work efforts, handling payroll reporting, and assisting with audits.
  • Support the Preferred Worker Program and ensure accurate reporting for workers' compensation policies and compliance requirements.
  • Collaborate closely with HR team members and leadership to improve processes, enhance client experience, and ensure consistent workflows.
  • Provide ongoing training and education to the HR team on leave procedures, legal updates, and best practices.
  • Stay current on employment law changes and HR trends by attending workshops, seminars, and training.
  • Demonstrate strong communication skills, a collaborative approach, and alignment with company values in all interactions.

Who you’ll work with:

This position works in close collaboration with the HR Business Partners, internal team members to support client needs, and directly with clients.

Required experience and skills:

  • Equivalent combination of education and experience — typically three or more years of related HR, leave administration, or compliance experience
  • Ability to perform all essential duties with or without reasonable accommodation
  • Strong ability to meet performance expectations across all core responsibilities
  • Demonstrated knowledge of leave laws, compliance practices, and HR processes
  • Proven ability to apply knowledge and skills successfully in a fast-paced, compliance-driven environment

Preferred skills and certifications:

  • SHRM-CP or PHR certification
  • Certifications related to leave administration or workers’ compensation are a plus

Total compensation and salary range:

Xenium HR is committed to providing a competitive compensation package. The starting salary for this role ranges from $64,000-$70,000/year based on skills/knowledge, years of experience, and ensuring pay equity within the organization. The hiring team will share more details regarding compensation based on your experience and location during the interview process.
